Many Tour Operators pay their guides, photographers or sales staff a commission based on their Photo Sales. To help aim with that, we have provided a few reports and tools below.

PicThrive provides a few different methods to help you generate your sales commissions. Below are the following sections:

  • Basic - Count of albums sold with the album names.
  • Advanced - Raw metric data including sale amount for both instore and online
  • PicThrive POS Sales Only - Each sale through PicThrive's POS, includes the guest email & refunds.
  • Instore Sales Only (Slow) - Each instore sale through your POS, but does not include sale amounts.

Each section includes a "Benefits & Limitations" callout. Please review them to find the best report that works for your needs.

Basic

  1. In general we recommend heading over to your Sales & Marketing Analytics.
  2. Click on More Reports and select Album Sales.
  3. Change the date range to the days you wish to cover.
  4. Wait for the report to generate, and then click the "Download" icon on the top right of the green bar.

This report will contain a total next to each album name for the # of sales made. You can view how many were sold via our POS and how many were sold by your POS.

You can then use this report in Google Sheets or Microsoft Excel. We have created a simple template here you can use to search for guide totals: Google Sheet. Be sure to make a copy so you can edit it!

Benefits
- Quickly get a # of album sold per guide.
- You can view and generate this report at any time.
Limitations
- You do not see a dollar amount for each sale.
- It does not include any information about refunds, resent albums or comps.
- This report only returns up to 500 rows. If your date range is too large the report will not all albums.
- This report will show all your Stores.

Advanced

  1. Head over to Sales & Marketing Analytics.
  2. Click on More Reports and select Raw Sales Data.
  3. Change the date range to the days you wish to cover.
  4. Wait for the report to generate, and then click the "Download" icon on the top right of the green bar.

This report contains all sales data we collect for metrics purposes. It contains columns including: Name of album, Date of Album, Date of Sale, Estimate Amount Paid, Real Amount Paid and more! It will include information on where the sale was completed, such as "OnlineStore" or "WorkspaceSend"

You can then use this report in Google Sheets or Microsoft Excel. We have created a simple template here you can use to search for guide totals: Google Sheet. Be sure to make a copy so you can edit it!

Benefits
- You can see the difference between instore and online sales.
- You can see a dollar amount.
- You can view and generate this report at any time.
Limitations
- It does not include any information about refunds, resent albums or comps.
- This report only returns up to 1000 rows. If your date range is too large the report will not all results.
- This report will show all your Stores.
- If the sale was sent with "Syncing on" only the initial contents will appear in this report.

PicThrive POS Sales Only

If you are only interested in Online Sales, and need to know about refunds or guest emails, this is the best way to go.

  1. Head over to Exportable Reports.
  2. Find the Sales with PicThrive's POS box.
  3. Select the Store you want a report for.
  4. Click on the blue link at the bottom that says "On-Demand Reports (Per Store)"
  5. Select the date range you want and enter your email.
  6. Click Queue. You will be emailed once the report is completed.

This report will contain up-to-date sales with PicThrive's POS. It include fields such as Email, Amount Paid, Amount Refunded, Currency, Album Name and more.

You can then use this report in Google Sheets or Microsoft Excel. We have created a simple template here you can use to search for guide totals: Google Sheet. Be sure to make a copy so you can edit it!

Benefits
- You can view guest emails and de-duplicate if you like.
- You can can see refunds and dollar amounts paid.
- You can generate this report On-Demand.
Limitations
- It only contains sales with PicThrive's POS.
- It can take up to an hour to be generated.
- You need to generate 1 report per Store.

Instore Sales Only (Slow)

If none of the above methods work for your instore reporting needs we recommend one of two actions:

  • Wait for your invoice to be billed and then use the "Invoice Line Items" report.
  • Or, have staff record what sales happen in a spreadsheet or piece of paper as they happen.

For the former you can navigate to:

  1. Head to Exportable Reports
  2. Find the Invoice Line Items report.
  3. Download for the period you are interested in.

This report will contain each instore sale through your POS. It will include fields like Email, Album Name, Album Date, Number of Photos, and Store Name.

You can then use this report in Google Sheets or Microsoft Excel. We have created a simple template here you can use to search for guide totals: Google Sheet. Be sure to make a copy so you can edit it!

Benefits
- Includes the name of the albums.
- Includes guest email addresses.
Limitations
- Does not include the dollar amount sold instore.
- Is only generated once your invoice is paid.
- If the sale was sent with "Syncing on" only the initial contents will appear in this report.
